2.1 Information provided by Schools (Administrators)

School name, address, contact details, and logo
Administrator account credentials (email and hashed password)
Staff, teacher, and employee records
Student enrollment data (name, class, section, roll number, date of birth)
Parent/guardian contact information
Fee structures, invoices, and payment records
Timetables, exam schedules, and academic calendars

2.2 Information collected automatically

Attendance records (date, time, status)
QR scan data including optional GPS coordinates (for on-premises verification)
Login timestamps and device information

Bus/vehicle GPS location data (when transport tracking is enabled)

2.3 Mobile Application

3. How We Use Your Information

Each school's data is fully isolated — School A cannot access School B's data.

5. Data Retention

We retain school data for the duration of the active subscription. Upon account termination:

Data is retained for 30 days after subscription end for recovery purposes
After 30 days, all school data is permanently deleted from our servers
Backup copies are purged within 90 days

6. Data Security

All data is encrypted in transit using TLS/SSL (HTTPS)
Passwords are hashed using bcrypt — never stored in plain text
API keys and credentials are encrypted at rest in the database
Access is controlled by role-based permissions (Admin, Teacher, Student, Parent)
Servers are hosted on secured VPS infrastructure

7. Children's Privacy

MyClassDiary is used in educational institutions and may contain data of minor students. This data is provided and controlled by the school (as data controller). We do not directly collect data from children without school authorization. Parents may contact their school administrator to review or update their child's data.
